Administrative coordinator for programs

Job Description:
The main role of all House of Faith employees is a children, youth, and family minister which necessitates that all applicants must be dedicated Christ followers and eager to help others grow in their faith.

The Administrative Assistant operates as receptionist, manages records and data, and remains in constant communication with members of our community. They understand these duties are absolutely integral in maintaining safety, accurate family/statistical information, and functionality at House of Faith.

Responsibilities:
  • Ministry
    • Reflect the character of Christ in the way we treat clients, volunteers and staff.
    • Participate in ministry programs that oversee and teach children, youth and families.
  • Administration
    • Maintain professionalism and excellence in administrative systems
    • Identify needs and develop efficient admin processes
    • Oversee/Create forms and mail outs
    • Merge & print mail outs
    • Prepare and mail bulk mail
    • Manage office supplies and office equipment
  • Data Management
    • Enter All Data
    • Maintain accurate individual and family information
    • Maintain confidentiality with all people information
    • Retrieve data as directed
    • Produce Reports of all types
    • Maintain Attendance records
  • Receptionist
    • Greet and direct visitors
    • Answer Phone calls
    • Improve efficiency of office information systems
    • File paperwork
    • Communicate with schools and community partners
    • Communicate HOF info to families (on the phone, in person and in writing)
    • All other duties as assigned

Applicant Requirements:
  • Able to learn and be knowledgeable about HOF
  • Friendly and approachable
  • Detail oriented
  • Organized
  • Able to communication clearly in all forms
  • Proficient in Microsoft Office programs
  • Ability to learn and use internal data systems
  • Able to sustain focus
  • Occasional travel required
  • Able to follow and give detailed instructions
  • Ability to train other Administrative Assistants
  • Physical Requirements:
    • Sit/stand for long periods
    • Be able to lift 10-25 lbs.
    • Kneel or crouch at times.
  • 3 or more years as administrative assistant (preferred)
  • Bilingual would be a great benefit

Salary & Benefits
  • Full-Time Salaried position; paid bi-weekly,

Schedule
  • Primarily Monday-Friday, 8:30am-5:30pm
  • Some programs and several special events will occur after 5:30pm at times and on several weekends throughout the year. These events are all hands on deck.
  • Some events will require travel.
